Whether you’re putting together a report for work, or you just want to represent information on your blog in a graphical way, Google Fusion Tables can help. Google Fusion is actually a feature embedded into Google Docs, that lets you transform raw information that’s stored in a tabular or spreadsheet format into a more visually appealing way – whether that’s a pie chart, a bar chart or a map with an informational layer.

We’ve covered lots of chart generators here at MUO, including online apps like Pie Color and Chart Tool. We even once covered Google’s Image Chart Creator, which I’m pretty sure was a predecessor to Google Fusion Tables. The beauty of Google Fusion Tables is that it takes chart creation to a more automated level, by letting you import spreadsheets from right inside of Google Docs. You can also import data from a file stored on your computer, or create it on-the-fly.

Access Google Fusion Tables From Inside Google Docs

The first step is to log into your Google Docs account, and then click on the “Create” button on the left side of the main screen. You’ll see a dropdown list of all of the typical things you can create in Google Docs, like documents and spreadsheets. If you look a little further down that list, you’ll see a selection for “Table“. Currently this is a beta feature.

The first option you’ll have is to import your table of data. As you can see, you can simply use a spreadsheet that you already have in your Google Docs account (Google Spreadsheets), or you can upload a spreadsheet data file from your computer.

For the purposes of this article, I want to show you how you can use Google Fusion Tables to display real data onto a map. In this case, I’m going to create a list of the trips our family has taken through the years, and I’m going to rate each trip with a “like” value – from 0 percent to 100 percent.

When you create a new empty table, you can enter in the data one row at a time. It isn’t quite like a regular spreadsheet where there are a bunch of empty rows. You have to click on the “Create New Row” button to enter in new data.

Text and Number can be anything at all. Location is optional, unless you want to represent the data in a map format, in which case you’ll want to connect that data to a specific location that will show up on a Google Map. You can also add a date, which can come in handy as well depending on what you are trying to represent, but that too is optional.

Here is my completed table, with five places we’ve visited and a number representing how much we liked the trip.

When you’re ready to convert your data sheet into a graphical format, just click on the “Visualize” menu item and select one of the options from the list. You can represent the data as a line chart, bar chart, pie chart, scatter plot or a timeline.

Of course, my favorite feature of Google Fusion Tables is the ability to overlay data on top of a Google Map. When you select the Map option, there are a few additional steps you can go through to customize your data visualization.

Right now, there really isn’t anything special about the data points, except that they are plotted on the map based on the locations that I provided for those data points. Instead of this, I want to make the map more useful by changing the actual marker itself based on the “like” percentage that I gave that trip. Just click on “configure styles” at the top of the map. Click on “Buckets” and then divide the data points into ranges of values. In this case I want 5 different icons that represent ranges of rating points.

Don’t forget to select what data you are representing by identifying the data column in the dropdown list. In this case I chose the “Number” column of my table. Now, you can see that the icons display in the size and color relating to the “weight” that I gave that trip.

Obviously, this can become far more useful when you have hundreds or thousands of data points, and you divide the icons into very fine-tuned buckets. Doing this, you can represent information such as illnesses, accidents, natural disasters and other data in a way that could reveal information that’s otherwise hard to visualize in just a table format.

Of course, you can also use Google Fusion charts to represent data in your standard pie, line or bar chart formats – the sort of everyday charting that you may do at work or school.

The best part of Google Fusion Tables is that the visualizations you create can be embedded anywhere on the web. All you have to do is make your original table “public”, and then in the map display, click on the “Get embeddable link“. This will provide code you can highlight and then paste on your own blog or website.

The other charts are also embeddable in the same way.

Google Fusion Tables makes it ridiculously fast and easy to import huge volumes of data and then represent that information in a graphical format that might otherwise have taken you much longer to accomplish using an application like Microsoft Excel. Google Fusion Tables lets you quickly identify the exact data you want to represent, how you want to display it, and then takes care of the rest – and lets you share your visualizations quickly on the web.

So go ahead, log into your Google Docs account and give Google Fusion Tables a try. Let us know if it helped you analyze your data in a new way. Share your thoughts and ideas in the comments section below!

The Google Docs app for Android provides quick access to your documents and collections stored online with Google. Within the app you can view, create, edit, upload, and share files or take pictures with your Android device camera and directly import them.

The Google Docs app for Android provides quick access to your documents and collections stored online with Google. Within the app you can view, create, edit, upload, and share files or take pictures with your Android device camera and directly import them.

Images uploaded from the gallery or camera can be scanned with optical character recognition to extract text and save it to a document. Users of Android Honeycomb can enjoy an optimized version of the app for larger screens.

The Interface

The interface of the Google Docs app is clean and straight forward and not too different from the web interface. A visual overview can be found under > Settings > Quick hints.

When you click the little arrow button on the far right of a document, you can preview the respective document and view its details.

Clicking the button will open a little sidebar with document properties, including date last viewed, date last modified, owner, and a list of people who can edit the document. In this view you can also add collaborators (people or groups), send or share the document, or rename the document. Via the settings button in the top right, you can open or delete the document.

If you want to send, rename, delete, or open a file with an alternative app, press it for a couple of seconds to trigger the menu shown in the screenshot below.

Creating Documents

The Google Doc apps supports creating new documents, spreadsheets, or documents from a photo or the gallery.

When you create a > Document from gallery or photo, the image you choose from the gallery or take with your device camera, can be uploaded as individual file, converted to a Google Docs document and embedded into a new document, or sent to web clipboard, so that you can paste it into a desired location.

When you choose the > Convert file go Google Docs document, the respective photo will be converted to text using optical character recognition (OCR). In theory, OCR is a fantastic feature, but in reality it doesn’t work very well, even with clearly printed text. However, if you experiment with the camera conditions (light, position, size of text), you might be able to get it to work for you. It also is rather unfortunate that the app can not display the source image, which is inserted on top of the recognized text, although it is very well able to display images.

Editing Documents

Editing documents within the app is possible, but it is fairly difficult. Edits can only be done line by line. Finding the right spot can be a bit of a challenge, typically resulting in short flickers of the document and a jumpy keyboard. Moreover, Google Docs does not allow you to zoom in, but forces you to work with the available text size. It must be said though that once the right line or paragraph has been highlighted, moving the cursor to a desired position works very well, unlike in some other apps.

Homescreen Widget

Google Docs comes with a simple homescreen widget. It unites four functions: opening Google Docs, viewing starred files, taking a photo and uploading it, and creating a new document.

In Honeycomb, you can add the widget by pressing an available spot on your homescreen for a few seconds or tapping the + icon in the top right, which opens the widgets gallery. The app is listed as Docs. You can drag and drop it to your desired homescreen.

Verdict

The Google Docs app is great for accessing and reading your Google documents. However, I would not recommend to create and edit documents with it. Overall, I find the app very useful and hope that Google will continue to develop and improve it.

Google Docs is without a doubt one of the easiest ways to collaborate with multiple people on a single document. Instead of having to share a file in the cloud or keep emailing each other with changes, you can simply work on one document and have the luxury of having it save automatically and be visible to all the other people working on the document. Google Docs offers a slew of features that make it easy to collaborate with others.

However, there are always ways to improve, and thankfully that is where extensions come in. There are extensions that let you know when someone changes your document, and some even help you start a new document faster and easier. There are two particularly useful ones that I am going to take a look at today. These apps really bring the Google Docs experience to a whole new level in terms of efficiency.

Watch Doc

WatchDoc is available for free from the Google Chrome Web store, which you will find here. Once you get to the application page, simply click “Add to Chrome” and the extension will automatically show up in the top right corner of your screen.

The first time you log into the extension you will need to grant it permission to get access to your Google account. This will pop up automatically when you log in for the first time, and all you need to is click the grant access button.

Once you have the application installed, it will sit quietly up there and watch any document shared with your Google account. Of course, you need to make sure you are logged into Google in order for the application to work. If you aren’t sure if you are logged in, simply click the button for WatchDoc. If you aren’t logged in, the application will tell you and provide you with a link to log in.

When someone edits one of your documents, an alert will pop at the bottom of the screen, and you will see a number over the icon.

Click the icon, and the extension will show you the document that has been edited and it will offer you a quick link to go straight to the document. It even tells you how long ago the edit happened, so you never miss a beat.

Docs Quickly

To install Docs Quickly, click here to see it in the Chrome web store. Click “Add to Chrome” and then get ready to have access to Google Docs much more quickly.

Once you install the extension, you will see the little icon for it on the top right of your screen. If you click it, a small drop down menu will appear that allows you to choose what kind of document you wish to create. It saves a few seconds when you are trying to create something, and if you are against a deadline, that can be extremely valuable.

What do you use to improve Google Docs? Let us know in the comments!

Google is working hard on their Docs platform. Just recently, they rolled out a huge update to almost all of their Docs programs. Now, they are continuing to move forward with a nice update to Presentations. The major change in the new update is the way users collaborate on a project. They added a chat, a color marker for each users changes, and a history of all revisions. This is huge for people who use Presentations to work remotely, as they can more easily work with their co-workers from afar.

In all, Google claims there are over fifty new features in the new version of Presentations. They added transitions between slides, which is a feature users have begged for. They also give users the ability to add drawings, rich data and flowcharts into presentations. Google also added a slew of new themes and animations to make Presentations a much richer experience.

Some users will already have the new presentation, but if you do not, you can enable it manually. Simply click the gear box on the top of the Docs screen, then click “document settings“, next click “editing” and lastly click the checkbox to “create new presentations using the latest version of the presentation editor“.

The one catch here is that older browsers are not supported, so make sure you have your browsers updated to the latest version so you don’t miss out on any of the exciting new features.

Storing documents in the cloud is an excellent idea, but it doesn’t solve all of your problems. Printing is often an issue because it’s not possible to conjure a printer through a WiFi connection. Fedex is now offering a solution in the form of the Office Print Online service.

Now available via Google Docs, this feature allows users to send a document saved to the cloud to a local Fedex location, where it will be printed. Or if you’re unable to make it to the nearest Fedex, you can have the documents delivered to you as soon as the next business day.

Using the service is easy, but does require that the Fedex site be given access to your Google account. Once you’ve uploaded a document, multiple print options become available including folding, lamination, and binding.

Of course, Fedex isn’t offering this out of the kindness of their heart, but rates do seem reasonable. The site quoted me $1.38 for printing out a simple two-page document at the nearest store, while having it delivered to my apartment tacked on an extra $9.99. Not as cheap as doing it yourself, obviously – but this should be handy for Google Docs users in a pinch.

I think at this point we can all agree that the infamous cloud is not going away. That being said, the cloud does have some disadvantages, and the most glaring of these is when you do not have an Internet connection available. Fear not, because Google has you covered as they are now offering offline access to Gmail, Docs and Calendar. The launches of these offline services are missing some features, but it s a step in the right direction for people who spend a lot of time computing away from an Internet connection.

First, Google launched their offline Gmail app, which allows users to archive, read and compose emails while offline. It stores your changes locally, and the next time you connect to the Internet, all of your changes will be uploaded and available online. Simply head over to the Chrome App Store and install the app.

For Google Docs you need to click the “settings” gear on the top right of the screen in the Docs app and click “Set Up Docs Offline“. The offline feature for Docs is still in beta and not available for everyone yet, but it will be over the next few days.

Calendar works similar to Docs. Click the gear and enable offline viewing.

The only problem is that you cannot edit Docs or Calendar offline, but it is still a step forward for Google apps, and Google is promising new features are being constantly added to their offline apps, so expect these features to be available soon.

<firstimage="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/08/bloglogo.jpg">Many of you have likely jumped on the WordPress or the Tumblr train, but there is still a number of people holding out on Blogger. Google is keeping up with the Joneses with its new Blogger in Draft interface, and the web tool still provides a cheaper alternative for total customization and original domain names for personal blogs.

If you are a Blogger user, you may have occasionally wondered, “How can I make one of those crazy-cool contact forms that all the other blogs in the world have?” Fortunately, if you are also a Google Docs user, this can be done with relative ease (and absolutely no pain).

Making The Form

To begin, log in to Google Docs, and create a new form as shown by the image below. You can punch in a title for your form to keep yourself organized, but you could actually leave this section of your form as “Untitled” and it wouldn’t make any difference. In order to make it a legitimate contact page, you should provide users with the “paragraph text” question type. This allows enough room for lengthy questions or comments.

Please take note that the default form automatically inserts two sample questions. Make sure to delete the second sample, or else you will have a phantom inquiry that you don’t really need. However, if you want to add more questions using different answer formats (checkboxes, multiple choice, etc.) then you are free to do so. You can even make the answers required for items such as contact details. After you are done, make sure you remember to save it.

Ripping The Form

You may already be aware that Google forms tend to stick to non-customizable templates that often don’t mesh well with your blog’s design. Sure, you can embed the form using an iFrame code, but it still retains the same format as the pre-designed cookie-cutter templates. Thankfully, there is a way around that.

After completing your form, go back to your Docs homepage and open up the spreadsheet of the form you have just created. As a side-note, this spreadsheet will allow you to see all the submissions to your form. When you arrive on this page, select “Form” on the menu bar and then click “Go to live form“.

While looking at your form page, you should use whatever feature your browser allows for looking at the page source code. Since I am using Chrome on my Mac for this tutorial, I merely used my trackpad to open the contextual menu and selected “View Page Source“.

Right here, things might get tedious, so pay close attention. You should use the Find function of your browser (CTRL + F) to locate the term “form action“. When you find it, you should see this code:

<div class="ss-form><form action="YOUR_FORM_URL" method="POST" id="ss-form">

Make a note of where this line of code is, and then find this next bit of code:

</script></div>

Copy all the way down from the first mentioned line of code to the next mentioned line of code. If you would feel more comfortable pasting this code in a text app, then go ahead. You will be using it momentarily.

Installing The Form

After you have successfully copied your selected code to your clipboard, you should go into your Blogger dashboard. As I said before, I am using the Blogger in Draft interface, but if you are using the original UI, you will still be able to follow along.

First off, you should create a new page for your blog and entitle it “Contact Me” or something similar. After opening it, go directly to the HTML editing section of the page and paste the code.

As of now, you have basically completed the task of installing the form on your blog. At this point, your preview should look similar to the image below. However, previews are going to be different for different people based on the machine they are using.

Customizing The Form

As I discovered with my personal blog, sometimes there will be problems such as there being too much space between the page title and the form itself or the answer box being too big for the width of the blog. These minor problems can be easily fixed.

If you are having issues with there being too much space between the title and the questions, search for any

br

tags and delete them. However, if you are having issues with the width of the answer box, search for this line of code:

<textarea name="entry.0.single" rows="8" cols="75" class="ss-q-long" id="entry_0">

By adjusting the “cols” value to a lesser number, you can change the width of the blog to suit smaller screens or alternate browsers. Furthermore, you can actually change the fonts of the questions while editing the page. With enough customization, you can end up with something like the following image.

Conclusion

This is a quick and efficient way to place a style-matching Google Docs form on your Blogger blog, and the tutorial could likely be adapted for any other blog or website. You can do a lot more than what you see here, so make sure you play around with it for a little while.

<firstimage="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/07/google_apps_300px.jpg" />On Wednesday Google announced a few new features and improvements to its existing Docs and Sites services. Google Spreadsheets has received a new shortcut menu that lists all current available keyboard commands. The new feature is visible by pressing Ctrl+/ or Cmd+/ on a Mac, and displays all the relevant shortcuts you’ve been missing out on as an overlay.

Another improvement for Google Docs is support for the conversion of PPTX (the latest Microsoft PowerPoint filetype) to Google presentations either by uploading the file directly or converting as normal from your list of saved documents.

Google Sites has received two enhancements, the first being a new RSS gadget that gives webmasters complete control over appearance alongside their existing site. To add the new RSS gadget to your Google hosted site login, choose Insert, More Gadgets, Featured and select RSS Feed.

Finally Google Sites has received enhanced mobile support thanks to an update to improve how pages render on mobile devices. In future images and logos in the header will scale to fit smaller screens, gadgets and text input areas will be limited in size for mobile devices and sites that use horizontal columns will see their content stacked vertically on mobile devices for better readability.

Another player in the online document collaboration field is Google Cloud Connect. Google Cloud Connect is a plugin for MS Office that connects your Office documents to your Google Docs. It serves both as a backup for your documents, and as a means to share, get feedback and collaborate on a document.

<firstimage="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/06/image23.png">Collaborating on a document has become increasingly easy these past few years. You can work together on the same document using services like EtherPad, you can have your documents in the cloud using Google Docs or you can sync your documents in real-time using services like Dropbox – and this is just naming a few.

Another player in the field is Google Cloud Connect. Google Cloud Connect is a plugin for MS Office that connects your Office documents to your Google Docs. It serves both as a backup for your documents, and as a means to share, get feedback and collaborate on a document.

Getting Started

First, you will need to download the Google Cloud Connect plugin and install it on your computer. The installation takes some time, but you will end up with a new toolbar in all your MS Office applications. To get started, you will need to log into your Google account and give the plugin access to your Google Docs.

You will then get the chance to configure the global settings of the plugin. There isn’t much to configure here, really – you can choose to sync your documents manually or automatically, and you can decide where the files will be saved. This is also the place to go if you wish to associate Cloud Connect with a different Google account.

The Cloud Connect toolbar is quite obtrusive. If you want to hide it, look for the (very) small triangle in the bottom center part of the toolbar and click it. This will hide the toolbar, and you can click it again to unhide it at any time.

Syncing and Sharing

Using Cloud Connect, you can create a new Word, Excel or PowerPoint document and sync it to the Google cloud or share it from within the document itself. Clicking the Sync button will sync your document to your Google Docs, and you will immediately get a link to it right in the Office window. The Share button will allow you to add people to this document. You can add many people at once, and choose whether they’ll be able to edit the document or just view it.

When you sync your document to the cloud, it will appear in your Google Docs. You will now be able to access it and view it online, but you will not be able to edit the document using Google Docs. The document will be mingled with your other Google Docs, and you can tell them apart by the little icons on the left.

If viewing and sharing online is not enough, you can convert your Office Doc into a Google Doc easily, by clicking on Actions and creating a Google Docs copy. However, you will not be able to download this copy using Cloud Connect and work on it offline.

Downloading

The newest feature of Cloud Connect is the ability to download documents from Google Docs into MS Office, right from the MS Office window. To do this, click on the huge “Google Cloud Connect” logo and choose “Open from Google Docs…”.

Note again, that you cannot download your Google Docs into MS Office. To use this feature, you will need to have Office documents synced to your Google Docs first. When you have some of those, you will be able to choose the document you want to download, and get it to instantly open in Office.

Collaborating

Cloud Connect can be used to work together on a document. If what you all like best is to work on your document in Office on your own computer, this could be the solution for you. Each person can download and edit the document, and then sync it to the cloud. If you’re all working on it at the same time, you might get messages like this:

This is nice, because it makes it harder for several people working together on the same document to erase each other’s work, and it also keeps all the versions of the document, in case you wish to revert. To access all the versions from within Office, click on the little page icon and choose “See revision history“.

Conclusions

I can’t really decide what to think about Cloud Connect. On the one hand, I feel it could be much simpler to use Dropbox to save my documents in the cloud and share them with a friend. On the other hand, Cloud Connect lets me do everything from within the document I’m working on, and allows me to share the document with numerous people without giving them permission to actually edit it.

All in all, I think this is a nice solution, and I will love to see them add the ability to also edit documents in the cloud. This is one thing that will truly make Cloud Connect stand out. Meanwhile, if you’re looking for Google Docs replacements, you can read about some of them here.

So what do you think? Is Cloud Connect useful or boring? We’d love to hear about it in the comments.

<firstimage="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2011/06/chrome-notes.jpg" />If you like working from anywhere, then Google Docs is one of the great sink holes you can pour everything into. Google Docs allows us to create and share in the cloud from any location, while keeping our document needs covered. The ‘software as a service’ has really taken off and we are richer for it. You can upload, store, archive, tag, and organize your documents. If you use it efficiently, 1GB of free storage also is adequate for most needs.

The here-there-and-everywhere nature of Google Docs gives me an opportunity to use it as a brain dump for my impromptu notes. Most of us live in the browser; and if it’s Firefox then QuickFox is a must-install extension for those who ever loved Opera’s own Notes feature and do a lot of note-taking while browsing.

I wrote glowingly about it previously and since then I have never taken it off my must-have extensions list. But QuickFox is browser based and in case you want to access it from any other computer, it presents a problem.

Not much because you can synchronize your notes using an online XMarks account and access it from anywhere. QuickFox also seamlessly works with the SimpleNote app. There is a third way and it involves the interplay of QuickFox, Google Docs, and a very useful script. Please note that sending notes to Google Docs via QuickFox is not a sync but merely a save as the script does not enable synchronization between the two.

Send Notes to Google Docs With QuickFox

You can send all your notes saved on QuickFox to Google Docs by introducing a small script into the QuickFox add-on folder. The script extends the default feature set of QuickFox and enabling its integration with Google Docs. Download the Google Docs script from here (right-click on the script page, and save it as a .js file).

Then proceed to install it in the following directory:

For Windows XP:

C:\Documents and Settings\\Application Data\Mozilla\Firefox\Profiles\68u8hfy4.default\qfn-scripts

For Windows Vista and 7:

C:\Users\\AppData\Roaming\Mozilla\Firefox\Profiles\q9z0k4c5.default\qfn-scripts

Restart the browser for the change to take effect.

After restarting the browser, open a QuickFox Note. You will notice that a new icon for syncing with Google Docs has appeared alongside the other buttons. See the screenshot below.

Compose a note and click on the button. A new window opens up and asks for your Google account username and password. The note gets saved to Google Docs as a text document with the same name as the QuickFox note. A small notification below says that the note has been clipped successfully.

Instead of using the bookmarking utility like XMarks, this tip proves really useful for picking up snippets from the web while browsing and saving or archiving them on Google Docs for later read. Of course, we can go into Google Docs and then share, organize, or collaborate on this note. I for example, create a bunch of notes and then organize them into collections. Later, I have Google Doc’s facility to download the saved notes as a PDF file.

Give us your opinion on this quick tip that allows you to save your browser notes to Google Docs.
